Keep shared costs clear

Know what your trip costs and who has paid.

One person pays for the accommodation, another covers dinner. In Packbay, record your travel expenses and keep track of who paid and who was involved. See your trip costs and shared amounts together, so everyone can understand their share.

Agree on your spending plan first

Before the trip, discuss which costs you will share and an amount that works for everyone. Consider travel, accommodation, food and planned activities. In Packbay, you can set an overall budget and limits for individual categories. Category limits are independent warning thresholds; they do not automatically divide your overall budget into separate pots. Leave room in your own plan for small expenses that you cannot yet predict before the holiday begins.

Record expenses while the details are fresh

Add an expense to the right trip, including the amount, category, date and person who paid. A short note helps you remember what the charge was for. In the browser, you enter these shared expenses in euros. Select the people involved; the web app divides the amount equally, including the person who paid. You do not need to connect a bank account to get started manually. Your overview reflects the expenses you have actually recorded.

  • Choose the correct trip before entering an amount.
  • Check who paid and which people were involved in the expense.
  • Use a short note to explain the purpose of a larger amount.

Review totals and categories along the way

An occasional look at the budget helps you assess the rest of your plans. The category overview shows where you have recorded costs so far. Compare those expenses with your agreed spending plan and the limits you set. You can then discuss whether another activity still fits. Limits provide guidance: they do not prevent a payment or replace your agreement about how much to spend. Remember to allow for costs you have not entered yet.

Make the shared settlement understandable

For the shared settlement, Packbay considers what each person has paid and their share of the expenses. You do not have to reconstruct every dinner or ticket from memory at the end of the trip. Before settling up, check together that the entries and participants are correct. Agree on and make the actual payments outside Packbay. The budget and recording shared expenses are part of the free core features for planning your travels.

FAQ

Do I need to connect a bank account?

No. You can manage the travel budget by entering expenses manually. Add the amount, category, person who paid and participants yourself. This gives you a shared cost overview without needing to connect a bank account.

Do category limits divide up the overall budget?

No. They are separate warning thresholds for each category. Their sum does not have to equal your overall budget. Review both the overall amount and individual categories when you discuss expenses you are still planning to make.

Does Packbay transfer settlement payments automatically?

No. Packbay helps you understand recorded expenses and the resulting shares. You agree among yourselves how to pay outstanding amounts. The actual payment takes place outside the app, using a payment method you choose together.
